1. Who We Are

TeacherPreps, LLC (“TeacherPreps,” “we,” “us,” or “our”) operates the website at teacherpreps.com. This Privacy Policy explains how we collect, use, and protect your personal information when you use our services.

2. Information We Collect

We collect the following types of information:

  • Account Information: When you create an account, we collect your name and email address. Passwords are stored in encrypted (hashed) form and are never visible to our team.
  • Payment Information: Payment processing is handled entirely by Stripe. We do not store your credit card number, expiration date, or CVV on our servers. See Stripe's Privacy Policy for details on how they handle your payment data.
  • Email Capture (Free Resources): When you download a free study guide workbook from our landing pages, we collect your email address and optionally your first name. This information is used to deliver the resource and send follow-up educational emails.
  • Usage Data: We may collect aggregate and anonymous usage data such as pages visited and features used to improve our services.
  • Study Activity: When you use the platform, we record your study progress, lesson and video completion, practice test and quiz attempts, and the written responses you submit, including constructed responses, study tutor messages, and support messages. This activity is tied to your account. We use it to deliver your scores and feedback, save your progress, provide support, and verify eligibility for the TeacherPreps Guarantee.
  • Interview Practice: We save the interview details you provide, including your role, grade, school, job description, and extracted resume text; your spoken or typed answer transcripts and corrections; and AI feedback and scores. We also save question-practice progress, saved vacancies, hiring-day notes, and any product feedback or testimonial you submit. These records are associated with your account. We do not store raw microphone recordings or the original PDF or text files you upload for interview preparation.
  • Account Access and Security Data: We log account activity associated with your account, including sign-in events, session activity, IP address, and general device and browser information. We use this data to keep accounts secure, to troubleshoot problems, to respond to payment disputes, and to detect account sharing or other violations of our Terms of Use.

3. How We Use Your Information

  • Service Delivery: To provide access to study materials, practice tests, video lessons, and other features included in your subscription.
  • Account Communications: To send you essential account-related emails such as welcome messages, password resets, and subscription confirmations.
  • Educational Emails: If you download a free resource, we may send you a limited series of educational emails related to that exam. You can unsubscribe from these emails at any time using the link in any email.
  • Service Improvement: To analyze anonymous usage patterns and improve our content and features.
  • Security and Enforcement: To protect accounts and our platform, we review account access and security data for signs of unauthorized access, credential sharing, automated scraping, and other activity prohibited by our Terms of Use. We may suspend or terminate accounts on this basis, and we may use account records as evidence in response to a payment dispute or a TeacherPreps Guarantee claim.

4. AI-Powered Features

We use DeepSeek for written-response scoring, study assistance, content review, customer-support chat, and Registry AI features. To provide the feature you use, we send relevant content to DeepSeek, such as your written answer and exam rubric, chat messages, or resume text when you request AI resume assistance.

Interview Prep uses OpenAI to provide voice conversations, process interview context, and generate answer feedback. When you speak, your microphone audio is transmitted to OpenAI. Supplied interview details, extracted document text, transcripts, and questions may also be sent for processing. Typed practice does not require microphone access. AI feedback is practice guidance, not a hiring decision or a guarantee of employment.

We request that OpenAI not store interview feedback responses as application state. This does not eliminate provider retention: OpenAI documents default abuse-monitoring retention of up to 30 days, with exceptions. Its API data is not used for model training by default unless the customer opts in. See OpenAI's API data controls for provider retention and processing details. Do not include identifiable student information or confidential school records in your practice.

5. Email Communications & CAN-SPAM Compliance

We comply with the CAN-SPAM Act. All marketing and educational emails include:

  • A clear identification of TeacherPreps as the sender
  • An accurate subject line describing the email content
  • A working unsubscribe link honored within 10 business days
  • Our contact information

You may opt out of educational and marketing emails at any time by clicking the unsubscribe link in any email or by emailing support@teacherpreps.com. Transactional emails (account creation, password reset, payment confirmation) are not subject to opt-out as they are necessary for service delivery.

6. Data Sharing

We do not sell, rent, or trade your personal information to third parties. We share your information only with the following service providers who process data on our behalf:

  • Stripe — Payment processing
  • MongoDB Atlas — Database hosting
  • Vercel — Website hosting
  • DeepSeek — AI scoring, study assistance, content review, support chat, and Registry assistance
  • OpenAI — AI interview conversations, context processing, and feedback
  • SMTP Provider — Email delivery

7. Data Security

We implement reasonable security measures to protect your personal information, including encrypted password storage (bcrypt hashing), HTTPS encryption for all data in transit, and secure cloud database hosting with access controls. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

8. Data Retention

We retain your account information for as long as your account is active or as needed to provide services. If you request account deletion, we will remove your personal information within 30 days, except where we are required to retain records for legal or business purposes (such as billing records or fraud prevention).

Interview sessions, including their copies of interview details, transcripts, corrections, and feedback, are scheduled for automatic deletion 90 days after creation. Database expiration runs asynchronously, so removal is not instantaneous at that deadline. You can delete individual interviews sooner. Clearing saved interview details removes your reusable setup, not the copies in past interviews.

Practice-coverage records, saved vacancies, hiring-day notes, and reusable setup are stored separately and do not expire with a session. Use the separate controls to clear saved setup, delete vacancies, or clear hiring-day notes. Deleting a transcript alone does not clear practice coverage. To remove practice coverage, product feedback or testimonials, withdraw publication consent, or request deletion of all interview data, contact support@teacherpreps.com. Technical usage and billing records, including model, token, cost, and session-duration metadata, are kept separately for accounting and abuse prevention. Deleting a session does not delete those records or cancel your subscription.

Interview testimonials are published only when you have consented and an administrator has approved them. Public testimonials include your rating, review, supplied first name, and review date, not your interview answers or account email. Feedback sent without publication consent remains private to the TeacherPreps team.

9. Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your account and personal data
  • Opt out of marketing and educational communications
  • Withdraw consent for data processing where applicable

Residents of California, Colorado, Connecticut, Utah, and Virginia may have additional rights under state privacy laws. To exercise any of these rights, contact us at support@teacherpreps.com.

10. Cookies

We use essential cookies for authentication and session management. These cookies are necessary for the website to function and cannot be disabled.

We also use Google Analytics to understand how visitors find and use the site, such as which pages are viewed and how people arrive. Google Analytics sets its own cookies and may collect your IP address, device, and browser information. We use it only to improve the site. You can opt out of Google Analytics across all websites using the Google Analytics Opt-out Browser Add-on.

We do not use third-party advertising cookies, and we do not sell your personal information or share it with advertisers.

11. Children's Privacy

Our services are intended for adults preparing for teacher certification exams. We do not knowingly collect personal information from children under 13. If we become aware that we have collected information from a child under 13, we will delete it promptly.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a new “Last updated” date. Continued use of our services after changes constitutes acceptance of the revised policy.

13. Certified Teacher Registry

The Certified Teacher Registry is a separate service that lets educators publish a candidate profile and lets approved schools search for candidates. Registry data is held separately from exam-prep data, and joining the Registry is optional. This section describes how Registry information is handled.

13.1 What we collect

  • Account details: email address and a hashed password.
  • Identity and location: your name, city, and state. We do not collect your street address.
  • Qualifications: degrees and institutions, teaching certifications and issuing states, certification exams passed, subjects, grade levels, years of experience, languages, and activities you could coach or advise.
  • Preferences: roles sought, school settings you are open to, travel distance, willingness to relocate, earliest start date, employment type, and a salary band.
  • Optional contact number, an optional short professional summary, and an optional resume file, from which we extract text in order to fill in the fields above.
  • Activity records: which approved schools viewed your profile and when, and which requested your contact details.

13.2 What we deliberately do not collect

The Registry does not collect, and provides no field to enter, your gender, race, ethnicity, age or date of birth, photograph, disability status, religion, marital or family status, home street address, or Social Security number. Schools cannot search or filter on any such characteristic because we do not hold it.

13.3 Who can see your profile

Registry profiles are not public. They are not published to a public page and are excluded from search engines. A profile is visible only to hiring accounts that have verified an institutional email address, been reviewed and approved by a member of our team, and hold an active subscription.

Your email address and phone number never appear in search results. A school receives them only by making an explicit contact request, which is rate-limited, recorded, and shown to you. If you enable confidential mode, your name, city, and current employer are withheld from schools until you accept contact.

We do not sell Registry data, we do not share it with advertisers or data brokers, and we provide no bulk export, download, or data feed to schools or to anyone else.

13.4 Resume files

Uploaded resumes are stored privately, outside the public web root, and are not accessible from a guessable or shareable link. We extract the text in order to prefill your profile. Deleting your resume removes both the stored file and the extracted text.

13.5 Automated processing

We use a third-party AI provider to read resume text into structured profile fields, to summarize how a candidate relates to the criteria a school entered, and to convert a school’s plain-English request into search filters. These features run only when a person clicks to use them. Our provider is contractually prohibited from using this content to train its models.

We do not use automated processing to score, rank, rate, or screen out candidates, and no protected characteristic is collected that could enter such processing. All contact decisions are made by a person at the school.

13.6 Retention

Availability lapses after approximately forty-five (45) days unless you confirm it, after which your profile stops appearing in searches. Profile-view and contact records are retained for up to four hundred (400) days and then deleted automatically. If a profile is inactive for twelve (12) months we will notify you before archiving it, and archived profiles are deleted after twenty-four (24) months of inactivity.

13.7 Your controls

From your dashboard you can switch your availability off at any time, turn confidential mode on or off, export your profile data, and delete your profile and resume outright. Deletion takes effect immediately and does not require you to contact support. Deleting your Registry profile does not affect any separate TeacherPreps exam-prep account.
